Staff Directory decommissioned – Staff to update/review Workday information

As of January 31, 2025, Â鶹ɫÇ鯬 IT Services has decommissioned the Â鶹ɫÇ鯬 Staff Directory. This initiative aims to streamline processes, improve security against phishing attacks, and replace outdated technology.ÌýÌý

As a result, Workday will now be the primary source for managing staff display names that appear in Microsoft 365 applications (e.g.,Teams and Outlook). Starting January 31, 2025, staff names that are displayed in Teams and Outlook will be updated to the following format: [Workday Preferred First Name] [Workday Preferred Last Name], [Workday Preferred Prefix].ÌýÌý

** Note: If no edits are made in Workday, staff’s Legal Name and Legal Prefix will automatically be set as their Preferred Name and Preferred Prefix and will appear as their display name in Microsoft 365 apps.**Ìý

To review and ensure your Workday information is up to date, you can use the direct link here: Ìýor log into > Menu (top left)Ìý> Personal Information > Name.

How will this impact staff?Ìý

  • Telephone coordinators will no longer need to complete Staff Directory Revision forms for new hires or staff departmental changes.
  • Individuals outside of Â鶹ɫÇ鯬 will no longer be able to use the Staff Directory to access contact information for Â鶹ɫÇ鯬 Staff, Faculty and Researchers.Ìý
  • Staff can use Outlook, Teams or Workday to search for any contact information within Â鶹ɫÇ鯬.Ìý

Note: Staff who already have a preferred name and/or prefix listed in the Staff Directory have been notified about this change via email.Ìý

Is action required from staff?Ìý

  • Staff who wish to use their preferredÌýname and/or prefixÌýin Microsoft 365 apps, such as, Teams andÌýOutlook, must update their information in Workday. To update follow the steps below:
    • Use the direct link to access page OR login into > MenuÌý(top left) > Personal Information > Name
    • Under Preferred Name select EditÌýÌý
    • Uncheck the box next to "Use Legal Name as Preferred Nameâ€Ìý
    • Update your PreferredÌýName and/or Preferred PrefixÌýÌý
    • SubmitÌý

Note: Display names will update within 24 hours, changes may take longer to appear in desktop versions of Outlook and Teams.

  • Staff who wish to use their legal name, but remove their prefixÌýin Microsoft 365 apps, such as, Teams and Outlook, must update their information in Workday. To update follow the steps below:
    • Use the direct link to access page OR login into > Menu (top left) > Personal Information > Name
    • Under Preferred Name select Edit
    • Uncheck the box next to "Use Legal Name as Preferred Nameâ€
    • Click x to removeÌýyour prefix
    • Submit

Note: Display names will update within 24 hours, changes may take longer to appear in desktop versions of Outlook and Teams.

  • Staff who use their legal name andÌýlegal prefix as their display name, no action is required.Ìý
